GuideReply ("we", "us") provides an AI-assisted tool that helps tour and experience operators draft replies to their guest reviews across Google, GetYourGuide, Viator and TripAdvisor. This policy explains what we collect, how we use it, and your choices. We keep it plain on purpose.
Information we collect
- Account information: your name, business name, city, and email address when you sign up or request a free review audit.
- Review data: the public reviews of your business (guest text, rating, date, platform) that we retrieve so we can draft replies. We also store the reply drafts we generate and the final replies you publish, so the AI keeps learning your brand's voice.
- Connection data: if you connect a platform account (for example your Google Business Profile), the access tokens required to read your reviews and, where a platform allows it, publish your approved reply.
- Usage data: basic technical logs (e.g. errors, timestamps) needed to run and secure the service.
How we use it
- To generate suggested replies in your brand's voice, which you review and approve before anything is published.
- To show you your reviews and their reply status in one dashboard.
- To operate, secure, and improve the service.
We do not sell your data, and we do not use it for advertising.
Google user data
When you connect your Google Business Profile, GuideReply's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We only access your Google review data to display it and to draft and (with your approval) publish replies. We do not use Google user data for advertising, we do not sell it, and we do not share it with third parties except the sub-processors needed to run the service (below). Humans do not read your Google data except as needed for support with your permission or as required by law.
Sub-processors
- Anthropic — the AI model that drafts replies. Review text is sent to generate a draft; it is not used to train their models.
- Cloud infrastructure — our hosting provider, used to run the service and store data.
Data retention & security
We keep your data for as long as your account is active, and delete it on request (see below). Access is restricted and connections use encryption in transit (HTTPS).
Your choices
- You can disconnect any connected platform at any time, which revokes our access.
- You can request a copy or deletion of your data by emailing us.
